Festival Administrative Assistant

Position Description 

The Festival Administrative Assistant works with other staff, board members and chairs of committees to accomplish the tasks entailed in staging the Society’s annual four-day Lunenburg Folk Harbour Festival. Employment is on a full-time basis for a fourteen-week period from approximately May 11 to August 14th.  The position is at the direction of the Office Administrator and a designated Board member.  Working hours will be scheduled to ensure the office is open at consistent times each week. Some evening and weekend hours will be required.

Role and Responsibilities 

Key responsibilities include: 

  • Assist in the general operations of the Folk Harbour office as required day-to-day
  • Assist in the production and distribution of the annual Festival Guide
  • Assist the Marketing and Publicity committee with promotion of the festival, public concerts and all other events
  • Plan and implement social media marketing
  • Ensure the production and distribution of posters, rack cards and other marketing materials
  • Oversee the production and installation of festival signage
  • Answer public inquiries, whether by phone, email, or in-person
  • Process telephone and in-person orders for tickets, sell tickets and track ticket sales on a daily basis
  • Provide committee support as required to ensure that inquiries are answered to forwarded to the appropriate committee chair and that committees have access to general office resources
  • Assist with bookkeeping as required
  • Perform other duties as required to maintain basic office function and cleanliness
  • Assist throughout the Festival weekend on an on-call basis
  • Write a final report outlining the responsibilities of the position; skills and experience gained; along with suggestions for improvement
  • Meet with Board designated supervisor to debrief your job experience

Qualifications

The Festival Administrative Assistant must be a post-secondary student returning to full-time studies in September.  

The ideal candidate for this position will demonstrate the following qualifications: 

  • Strong background in graphic design and familiarity and ability to utilize current software programs 
  • Resourcefulness, creativity and attentiveness to detail
  • Proficiency with standard office equipment and software including Microsoft Office Suite 
  • Ability to organize and multi-task
  • Interest in presenting and promoting folk music
  • Experience with non-profit organizations
  • Ability to work with a wide range of volunteers and staff
  • Excellent communication skills, both verbal and written
  • A valid driver’s license and access to a vehicle is an asset

Festival Logistics Coordinator

Position Description

The Festival Logistics Coordinator works with office staff, board members and committee chairs to assist with the production of the Lunenburg Folk Harbour Festival, August 6th-9th.  Employment is on a full time basis for a fourteen-week term from May 11th-August 14th. Some evening and weekend work is required.

Role & Responsibilities:

  • Maintain basic office functions
  • Collect performer services information, including but not limited to: billeting needs, transportation forms and technical riders from performers and/or their agents. Compile and maintain a database of this information
  • Assemble performer and emcee packages and schedules
  • Assist in maintaining social media presence
  • Create venue signage
  • Work with office staff to sell and process ticket orders
  • Produce site packages for all venues
  • Create nametags as required

Qualifications:

The Festival Logistics Coordinator must be a post secondary student returning to full time studies in September.  A valid drivers licence and access to a vehicle is an asset.

  • Excellent, proven, customer service skills
  • Proficiency with standard office equipment and software including Microsoft Office Suite
  • Ability to communicate, organize and multi task
  • Knowledge of and ability to promote folk music, including social media promotions
  • Experience with not for profit organizations is an asset
  • Ability to keep accurate records with attention to detail
  • Resourcefulness, creativity and ability to work as part of a team
